FAIRVIEW SCHOOL DISTRICT - POSITION DESCRIPTION

LOCATION: Fairview Middle School

TITLE : Middle School Attendance Secretary

REPORTS TO : Building Principal

JOB GOAL : Help maintain a friendly school office environment in which the candidate supports and helps to problem-solve for all visitors, phone inquiries/requests, and e-mail correspondence, while maintaining a positive attitude in completing all assigned duties.

QUALIFICATIONS:

1. Possess an Associate Degree or higher (Bachelors Desired).
2. Accurate Typist (60 wpm or more).
3. High degree of proficiency with computer programs (such as MS Office, Excel, ).
4. Ability to use a variety of office
5. Proficiency in language and composition
6. Possess an enthusiastic personality and friendly interpersonal
7. Possess the ability to multi-task within a busy office while maintaining a positive attitude and pleasant

POSITION RESPONSIBILITIES:

1. Maintain and monitor accurate attendance records for every student in the building.
2. Assume primary telephone responsibilities for the building.
3. Primarily responsible for assisting students and parents who enter the office and via phone or e-mail.
4. Maintain confidential student files (A & B files), as well as computer records.
5. Responsible for assisting with the registration of new students and releasing student records for those who withdraw.
6. Register all visitors with the Raptor Computer System.
7. Maintain Student Data.
8. Responsible for iPad deployment, troubleshooting, basic maintenance, etc.
9. Help with process for recruitment and enrollment of new students and set up shadow days for interested students.
10. Assist the administration during emergency drills.
11. Assist with collection of order forms and parent responses.
12. Perform general office work, such as word processing, filing, etc.
13. Communicate via 2-way radio with bus drivers, administrators, and school safety officer.
14. Work closely with the Transportation Department regarding bus concerns.
15. Required to attend several evening events per school year (Open Houses, Parent Nights, etc.)
16. Assist with the daily substitute teacher procedures.
17. Assist with morning and afternoon announcements.
18. Prepare mailings and registration packets.
19. Assist with scheduling meetings for principals.
20. Handle student, parent, and teacher requests.
21. Manage all correspondence to parents and District Judge regarding attendance issues.
22. Track late arrivals of students and issue and schedule detentions for excessive tardiness.
23. Perform other work as assigned by the building principal.

TERMS OF EMPLOYMENT : 10-month position (210 days per year) - Class "B"


HOURS : 7:30 a.m. - 4:00 p.m. (8-hours per day)


SALARY : $19.59/hr.


EVALUATION : Annually, in accordance with provisions of Board policy.
