Job Title: Accounts Receivable (AR) Manager

Location: Norfolk, MA (Hybrid – 2 days in-office, 3 remote) – Lives within 50-mile radius

Position Summary:

We are seeking an experienced Accounts Receivable Manager to lead the management of our high-volume AR processes for multiple divisions, specifically related to government contracts with the Defense Commissary Agency (DeCA). This role requires expertise in billing, cash application, payment discrepancy resolution, and compliance with invoicing standards and regulations. The ideal candidate will ensure accurate and timely collections, while maintaining strong relationships with DeCA representatives and internal stakeholders.

Key Responsibilities:

  • Manage and oversee multiple full-cycle Accounts Receivable operations focused on contracts with the Defense Commissary Agency (DeCA), handling high transaction volumes efficiently and accurately, as well another Accounts Receivable cycle focusing on our network of Distributor partners. 
  • Prepare and submit customer invoices and billing statements compliant with DeCA requirements, including adherence to DFAS regulations.
  • Ensure timely and accurate application of cash payments received from customers, including electronic funds transfers (EFT) and Automated Clearing House (ACH) payments and working with electronic data interchange (EDI) to process payment applications.
  • Proactively research and resolve payment discrepancies, short payments, or billing disputes, preparing and filing claims or adjustments as necessary in accordance with customer policies and procedures and in coordination with their finance teams.
  • Maintain and reconcile AR aging reports for all customer accounts, driving collections and follow-ups on overdue balances in accordance with contract terms while maintaining a 90% current balance.
  • Collaborate with internal departments such as Contracts, Billing, and Project Management to clarify invoicing issues and ensure contract compliance.
  • Assist with internal and external audits by providing documentation and explanations related to accounts receivable activities.
  • Identify opportunities to streamline AR processes and improve compliance with invoicing and payment requirements.
  • Support month-end and year-end financial close activities as they relate to AR.

Experience and Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field (required).
  • 3–5 years of accounts receivable experience, with specific experience working with or for the Defense Commissary Agency (DeCA) a plus.
  • Proficiency with AS400 ERP systems and other related AR systems also a plus, but not required.
  • Advanced skills in Microsoft Office suite, especially MS Excel and MS Outlook highly preferred.
  • Excellent communication and negotiation skills, with the ability to maintain productive relationships with customers, representatives and internal teams.
  • Detail-oriented and highly organized, capable of managing multiple priorities and deadlines.

Preferred Skills:

  • Experience working directly with DeCA financial teams or contracts administration.
  • Knowledge of Electronic Data Interchange (EDI) processes used by DeCA for invoicing and payment.
  • Prior leadership or supervisory experience in accounts receivable or government contract billing.
